How to create a Hospital System?

IN Entries/Vendors click New Vendor

Enter desired Region/name

Select Hospital System as Type

How to link Facility to a Hospital System vendor?

In Entries/Facilities select facility that will be linked to a desired Vendor

Proceed to the General page of the Facility

In the Hospital System dropdown, select a desired Hospital System

Click Save.

NOTE: All Company Users will have access to the Hospital System drop down.

Your facility is now LINKED to a Hospital System.


How to add a Contact to a Vendor?

In Entries/Vendors select a vendor you need to add Contacts to

Proceed to the Contact page inside the vendor profile

Click New

A Vendor Contact Add/Edit box will appear

Fill out General Information:

Name, E-mail, Title, Status

Select No Mass Emails if needed

Proceed to the phones section if phone numbers are needed for the contract

Click New

Enter Phone number/ Device Type/ Leave a comment

Click Ok

You will then be redirected to a grid:

You now have a Contact for the Vendor.

This Contact has access to all Facilities linked to this Vendor, until specific facilities are defined.



How to define Facilities for the Vendor Contact access?

Proceed to the Entries/Vendors/Contact page

Click on the Contact Name

In the Vendor Contact Add/Edit box proceed to the Access to Region/Facilities section

Click New

In the Region/Facility Add/Edit window select desired Hospital you want this Contact to have access to

You can delete the Linked hospitals:

Select a hospital you need to unlink in the Delete column

Clicking on the red cross

Where will a Hospital System Contact from Vendor page be shown?

When Use as default at Unit level

And will appear in the drop down in Shifts and Needs

Proceed to Entries/Vendors/Contact

Click on the User ID/Password

What are Very Important Facts to Know about Permissions for Hospital Contact User Group?


  • For Hospital Contact User group – DO NOT assign permissions that are higher that default.

Example: Permission default to Read Only – can assign Not Accessible; CAN NOT assign Full Rights

  • Save Default permissions on your computer and keep them handy in case of any required changes in the Permission tree for Hospital Contact User group.


  • Two ways for Hospital Portal Permissions configuration:

    1. Open permissions manually based on the instructions for default Permissions

    2. Utilize internal scrip and manipulate permissions after the script is ran
