Per Diem Scheduling

To enter Per Diem orders in BlueSky, follow the steps below:
1. Click Scheduling > Shifts > Filter to a Region > Click OK. The next screen you'll see is the Shifts Grid. This grid lists all shifts in this Region, in date order (earliest to most recent):

3. Enter details about the shift:
  • ID: this number is created by your system after you enter the shift order and click Save.
  • Shift #: this field is optional, enter a shift number if applicable.
  • Facility: select a Facility from this drop down menu.
  • Unit: select a Unit in the Facility from this drop down menu. Every facility in your system must have a minimum of one unit; if this drop down menu is empty, go back to the facility profile and enter units.
  • Start Date: select the start date of the shift.
  • Duration: enter the duration of the shift; select day, week, or month. Enter the number of days, weeks, or months.
  • Specify non-working days: If the shift is more than one day in duration, but specific days are non-working, click on this icon to enter those days.
  • Shift Type: select a shift type from the drop down menu; 1st 8h, 3rd 12h, etc.
  • Include in OT calc: if this shift should be included in any OT calculations, check this box.
  • OnCall/Callback/Charge/Pool: if this shift is one of these types of shift, check the applicable box. If there are pay/bill rules for these types of shifts in the facility, your system will apply them when processing payroll.
  • Caregiver: manually assign a caregiver to this order by clicking the drop down menu. To use the candidate search feature of BlueSky and see a list of caregivers who could work the shift, skip this step. Instead, enter details about the shift, click Save, and then click Candidates/Assigned.
  • Category: select Per Diem or Travel.
  • Degree/Specialty: when you select the Unit, the Degree/Specialty assigned to this Unit should automatically populate. If it does not, go back to the unit profile and assign a default Degree/Specialty.
  • Unit Contact: if there is a default unit contact in the facility profile, this field will automatically populate. If not, click this drop down menu and select a contact.
  • Comment: if applicable, enter a comment for the caregiver assigned to this shift here.
  • Discrepancy: if you manually assign a caregiver to this shift, this field will display any information about the caregiver that doesn't match the shift. Ex: degree/specialty, caregiver is missing required docs, caregiver isn't oriented, etc.
  • Scheduler/Account Manager/Recruiter: the Scheduler field will populate the name of the company user entering the shift. If this facility has an account manager, the Account Manager field will auto-populate or you can select a name from the drop down list. If you manually assign a caregiver, you can select the caregiver's recruiter from the Recruiter drop down menu.
  • Shift Location: this field will default to the region to which you filtered to enter the shift.
4. After you enter the shift details and click Save, these icons will appear in the upper left corner:
  • Search: click this icon to see a list of caregivers that could work this shift.
  • Send Email to Subcontractors: click this icon to send an email notification to your subcontracting companies about this shift.
  • Show Rates: click to see pay and bill rates for this shift. Rates are pulled when the shift is entered and if your system cannot find any rates, you will be prompted to enter them when you click Save.
  • Add contact: click this icon to add a facility contact.
  • Copy: click this icon to copy this shift.
  • New: click this icon to enter a new shift.
5. Request Processing: these checkboxes are part of BlueSky's order tracking and email notification features. When a box is checked, an email notification is sent to the facility contact and/or caregiver assigned to the shift.
  • Don't Send Email to Facility/to Caregiver: if these boxes are unchecked, email notifications will be sent to the facility contact and caregiver assigned to the shift. If checked, notifications will not be sent.
  • Apply for Shift: if you allow your caregivers to login and view open shifts, and a caregiver applies for this shift, this box will be checked. The account manager will receive an email notification about the caregiver's application.
  • Assign for Shift: if you manually assign a caregiver to this shift, once you click Save, an email notification will be sent to the caregiver and this box will be checked. If you assign a caregiver from the candidate list to this shift, an email notification will be sent that caregiver and this box will be checked.
  • Confirm by Facility: if your facility contacts can login and track orders, and they confirm the shift, this box will be checked and the account manager, facility contact, and caregiver assigned to the shift will receive an email notification.
  • Cancel by Facility: if the facility cancels the shift and this box is checked, the account manager, facility contact, and caregiver assigned to the shift will receive an email notification.
  • Filled by Facility: if the facility fills this shift and this box is checked, the account manager, facility contact, and caregiver assigned to the shift will receive an email notification.
  • Return by Facility: if the facility canceled the shift, but re-opened the shift and this box is checked, the account manager, facility contact, and caregiver assigned to the shift will receive an email notification.
  • Confirmed by Caregiver: if the caregiver assigned to the shift confirms they can work and this box is checked, the account manager, facility contact, and caregiver assigned to the shift will receive an email notification.
  • Cancel by Caregiver: if the caregiver cannot work the shift and this box is checked, the account manager, the facility contact, and the caregiver assigned to the shift will receive an email notification.
  • No Call No Show: if the caregiver no call/no shows for the shift and this box is checked, the account manager, facility contact, and caregiver assigned to the shift will receive an email notification.
  • Cancel by Agency: if the agency cancels the shift and this box is checked, the account manager, facility contact, and caregiver assigned to the shift will receive an email notification.
