Service Items in QuickBooks. Basics

In QB the hierarchy is ACCOUNT --> SUBACCOUNT --> SERVICE ITEM --> SUBITEM

Create an Account or a Subaccount:

  •    Click on Lists
  •    Select Chart of Accounts


  • Click on Account in the bottom left corner
  • Click new


  •  Select Account Type
  •  Select Account Name
  •  If this account is a Subaccount, click in the Subaccount box and specify where this Subaccount will fall under.


  •  Click Save and Close

 

Create a service item or a subitem:

  • Click List
  • Click Item List


  •  Click Item
  •  Click New


  • From the drop down under Type, select Service
  • Specify the name of the item in the Item name/Number box
  • If you wish to make this item a sub item, select the Subitem box and choose the Service item from the drop down (see image below)
  • Next select the account you wish this Service Item to be under – this will map the Service Item


  • Click OK

Create Service Item for a Subcontractor (Vendor):

  • Click List
  • Click Item List
  • Click Item
  • Click New
  • From the drop down under Type, select Service
  • Specify the name of the item in the Item name/Number box
  • If you wish to make this item a sub item, select the Subitem box and choose the Service item from the drop down
  • Select This service is used in assemblies of is performed by a subcontractor box


  • Specify an Expense Account
  • Specify an Income Account
  • Specified Preferred Vendor


    • Click OK

    All the Service items in QB will be available for selection in the QB Plug in. The best way to check the hierarchy of Accounts and Service items is to run a Profit and Loss (P&L) report in QB.
